My name is Rebecca. Complaining is something that most people don't enjoy doing. But sometimes, it's necessary for us to get what we need or want or deserve. In this lesson, I'll show you an easy three-step process to complain effectively in English. Let's get started. Okay. So the three steps are: First, state the problem; second, express your feelings; and last, ask for action. Let's look at some examples of how this works. Let's say you have no hot water in your hotel room. So state the problem. You say, "We have no hot water in our hotel room. This is unacceptable. Please transfer me to another room." Okay? So, "I have no hot water. This is unacceptable. Please transfer me to another room." Right? State the problem; express your feelings; ask for action. It's very important to do this last part. Some people just do this part. They state the problem, or they grumble by stating -- they're expressing their feelings. But they don't tell people what they want them to do. So if you really want action, make sure you ask for what you ask for what you want someone to do to fix your problem, okay? Next, you're in a restaurant, and the food isn't to your satisfaction. So you say, "The food is cold. This is ridiculous. Please bring us some hot food." Okay? One, two, three. Next, "The Internet is down" -- "the Internet is down" means the Internet is not working, all right? "This is unacceptable. Please credit me for the lost hours." Okay? Another example, "You overcharged me for this item. This is wrong. Please give me a refund." Okay? So you see, by following this three-step process, it's a very easy way for you to complain about anything that you're having a problem with, okay? So remember, don't forget to ask for action, because without that, people may come up with a solution which you don't really like. And you want to make sure that people do what you want them to do, for example, give you a refund, or for example, not just fix your Internet, but give you a credit for the hours that you lost. So by you stating what you want, there's a much greater likelihood that the problem will be fixed in a way that makes you satisfied, okay? For example, let me tell you what happened to me the other day, a really bad experience. I went to the supermarket. I was really hungry. I had nothing at home to eat. And I bought a roast chicken. And that was going to be my dinner. So I took it home, spent a good amount of money for that chicken, prepared some other things to eat with the chicken. And finally, when I was about to sit down, I opened up the chicken, and what do I see? Somebody had actually eaten a part of the leg. One of the legs was eaten, and the bone was left there. I mean, can you imagine my shock? I was absolutely disgusted. I took action. I complained. So what did I do? I told them, "Someone has eaten my chicken! Somebody has eaten one of the legs and actually left the dirty bone there in the package! And you sold me this ridiculous chicken! So this is ridiculous. This is completely wrong. Please give me a refund immediately. Give me a replacement chicken. And in addition, I'm going to write to your management because this is a health hazard." So depending on what the situation is, you can decide how much you complain, what you ask for. I did, by the way, get a replacement chicken. I did get my money back in addition. And I'm planning to follow up with the management because it's really crazy, isn't it? So I hope you've learned from this, how to complain. I hope this never happens to you, no chicken situations or anything else. But sometimes things happen. So at least, you'll know how to handle it, all right? Step 1: Go straight to the top Address your letter to the company’s CEO. His secretary will likely forward it to customer service with a personal note, sending your complaint to the top of the pile. In fact, research has found that this trick can triple your chances of a successful outcome. Step 2: Include back-up State the problem and include any back-up materials, such as a sales receipt or any previous correspondence. This will show that you are a serious person who will not be ignored until your complaint is resolved. Tip In addition to your address and phone number, include your email address for a speedy response. Step 3: Be specific State exactly what the company can do to keep you as a customer, whether it’s a refund, store credit, or a replacement. If all you do is complain, chances are all you’ll get back by way of apology is a form letter. Tip Include a reasonable date by which you expect to have a response--two weeks is fair. Step 7: Spell check Don’t forget to spell check your letter. Misspellings make the reader perceive you as unintelligent, which may make them not take your complaint as seriously. Step 8: End on a positive note End by thanking the person 'in advance' for resolving the matter. Did You Know? If you have a problem with a purchase, the first thing you should do is complain to all your friends on social media… EXP: No, not at all! I have the Consumer Action Handbook here, and it says the first thing you should do is inform the seller about the problem. Most complaints are actually resolved that way. And do it as soon as possible because some stores offer limited time for returns and refunds. If your problem is not resolved on the first try, ask to speak with a supervisor or manager. Sometimes it’s just a matter of knowing who to talk to in order to resolve the issue. PST: That’s what I was saying … So in other words, if you didn’t like the final score of the game you watched last night, you should complain immediately so you can get your money back… EXP : No! Sooner or later you may need to write a letter of complaint especially if you have you ever felt disappointed or angry about something you bought. You want to tell the company about the gadget that didn't work or the lousy haircut that made you look silly. Perhaps you received a delivery consisting of the wrong items, or the items you received aren't working. You want your money back or a product exchange. So what do you say? Start with letter format. Be sure that you have a contact name of someone in the company. Failing that, address it to customer-service will You could even use is To Whom it may concern. Complaint letter opening Explain directly and clearly why you are writing the letter. Tell the reader you want, a refund, a reversal of charges, or a product exchange, then summarize the reason. Here are a few sample openings: Example: Please reverse an erroneous charge on my Visa Account # 1234-5678-9876. The is a $243 overcharge on my bill for my meal at your restaurant a week ago. Example: Recently, I ordered a keyboard, model xxxx from your online store. When I received the item, some of the keys did not work, so I am returning it to your company (free of charge) for either an exchange or a refund. You'll notice that these openings get right to the point. For most business correspondence you can use a simple three-part structure: Details - Next, describe in more detail your story in two parts. a) First, before you had any problems. Tell this story chronological order. Use dates, receipt numbers, and dollar amounts. Give the names of any people you dealt with.. b) The second part is when things went wrong. Example: I was in your store on April 15, two weeks I go and saw that your wireless keyboards were on sale. I was told that these keyboards were compatible with my Samson computer, so I decided to purchase one, and took it home to try it out. I paid $47 on my visa, and my receipt number is 123-456. But, when I got home, I found that the device did not work with my desktop computer. When I called Samson computers I was told that Bestclick keyboards are not compatible with them. Complaint letter close Wind down your letter stating again what you want. Give any additional instructions. Example: Please send the check of $243 to the above address. Or, I will be sending the product back to your address as part of your 30-day return policy. Thanks for your immediate co-operation in this matter. Claim letter tips Use a neutral detached tone - There's nothing worse than feeling you have to yell at the reader in your letter. Avoid blaming anyone - Just report what has happened and what you want. End on a positive note - Don't threaten legal action. Most vendors are eager to please, and want the customer experience to be positive so you buy again. Keep your claim letter to a page and keep your paragraphs short. If you are send a claim email, ensure your letter is no more than a screen full of type and take extra care to be concise. Check your spelling, grammar, punctuation and language.

Deficiencies in complaint and Recall Handling cause warning letter. Due to deficiencies in the investigation of the scope and root causes of reported complaints, the U.S. Food and Drug Administration (FDA) has issued a warning letter to an Indian drug manufacturer. The FDA inspection already took place in December of 2016. Because of the non-satisfactory reply in regards to the inspection findings by the manufacturer, the FDA issued the warning letter in August 2017. The FDA inspectors noticed that investigations into process deviations and out-of-specification (OOS) laboratory results were insufficient, and did not include scientifically-supported conclusions. According to FDA the manufacturer´s response to this observation was inadequate because, amongst others, it failed to fully investigate the scope and root causes of a reported complaint. The FDA now expects the manufacturer to retrospectively review all complaint, manufacturing, and laboratory investigations associated with each product that is produced for the U.S. market. Furthermore, a plan to ensure that all future investigations are thorough, scientifically sound, and result in appropriate and effective CAPA (corrective actions and preventive actions) should be provided. Another major deficiency was that the firm failed to follow the company´s own written procedures regarding the recall of failing products (for example: after receiving a complaint sample the defect has been confirmed, but a product recall as directed by company´s own procedures regarding recalls of defective products has not been initiated in time). Therefore, the FDA demands to provide a list and summary explanation for all other instances in which product(s) distributed within the last five years failed to meet established specifications, but for which actions prescribed in the firm´s Quality System Manual and recall procedure have not been taken. Additionally, the planned CAPA for each such instance should be provided including an explanation of CAPAs for ensuring to follow own procedures regarding product quality and recalls. In addition the FDA observed deficiencies in cleaning operations. The authority demands sampling procedures and analytical methods used to test residues found during the inspection, including validation protocols and validation reports. Furthermore, a plan is required to ensure that personnel responsible for cleaning, verifying equipment cleanliness, and maintaining equipment are appropriately trained and capable of performing their assigned duties. An overall assessment of the adequacy of your cleaning program for all equipment, with special emphasis on difficult-to-clean parts should be provided. Another deficiency was found regarding Process Controls. The FDA observed that the firm "does not have an adequate ongoing program for monitoring process control to ensure stable manufacturing operations and consistent drug quality". FDA’s guidance document, Process Validation: General Principles and Practices, for general principles and approaches that FDA considers appropriate elements of process validation, should be followed.

This is the continuing saga into my rant against the poor business practices of AuraVie. My complaint isn't against the products per se, it's against the fact that they charged us for product we never ordered and after numerous phone call attempts and e-mails, our money still has not been refunded--even after their product has been sent back. And I'm not alone in this fight. Complaints against AuraVie are rampant. A quick Google search yields numerous similar results.
